How to Set Up Microsoft 365 Email in Outlook on Windows
This guide shows you how to set up your Microsoft 365 email in Outlook on a Windows PC. There are now two versions of Outlook on Windows — classic Outlook and the new Outlook for Windows (the default on most Windows 11 PCs) — so we’ve covered both.
Before you start
Have your full Microsoft 365 email address and password ready. If your business uses extra security, you may be prompted to verify your sign-in using the Microsoft Authenticator app — just follow the on-screen prompts.
Which version of Outlook do I have?
Open Outlook and look at the top-left of the window. If you see a File menu, you’re using classic Outlook. If there’s no File menu and instead a New Outlook toggle in the top-right corner, you’re using the new Outlook for Windows. Follow the matching section below.
Option A: Classic Outlook
- Open Outlook from the Start menu.
- Click File in the top-left corner, then click Add Account.
- Type your full Microsoft 365 email address and click Connect.
- A Microsoft sign-in window appears. Enter your password, complete any verification, and click Sign in.
- Click Done. Your email will begin downloading into Outlook.
Option B: New Outlook for Windows
- Open Outlook. If this is your first account, type your Microsoft 365 email address on the welcome screen and click Continue.
- To add another account, click the Settings (gear) icon in the top-right, or go to View > View settings > Accounts > Email accounts > Add account.
- Type your Microsoft 365 email address and click Continue.
- Enter your password, complete any verification, and sign in.
- Click Done. Your mailbox will start syncing.
If Outlook can’t find your settings
This is rare with Microsoft 365, but if setup doesn’t complete automatically, choose Let me set up my account manually and select Microsoft 365 (or Exchange). If you have a custom domain, your provider can supply the exact server details.
